The following policy pertains only to reservations made directly with us via phone or our website. Reservations made through other online travel agencies or sources are bound by the cancellation policies of those agencies.
Individual Room Cancellations
For individual room cancellations made at least 30 days prior to arrival, we will provide a full refund less $30 processing fee to cover our costs incurred from processing the payment. For cancellations made within 30 days of arrival and for no-shows, all monies (that is, the charges for the entire reservation – deposit, remaining balance, taxes and fees) will be forfeited with no refunding. Should we be able to re-book the canceled room per our policies and reservation system settings, we will promptly refund the initial deposit. When possible we will apply a credit for a future stay, but it is at our full discretion. If the cancellation falls within the 48 hours of making the reservation, we will waive the $30 processing fee. Please, Please check your dates carefully so these situations do not arise when possible.
Group or Whole Lodge Cancellations
For group(4 rooms or more) or whole lodge cancellations made at least 90 days prior to arrival, we will provide a full refund less $30 processing fee to cover our costs incurred from processing the payment. For cancellations made within 90 days of arrival and for no-shows, all monies (that is, the charges for the entire reservation – deposit, remaining balance, taxes and fees) will be forfeited. Should we be able to re-book the canceled stay per our policies and reservation system settings, we will promptly refund the initial deposit. When possible we will apply a credit for a future stay, but it is at our full discretion. For some Group Reservations Only or when a group or special event whole house booking reservation is made, the staff will coordinate details with the guests by discussing the requirements over the phone, email as well as sending a document that covers specific details required for the reservation. That document will have policies in addition to the ones stated here and should be considered apart of the policies stated above. Specific requirements include additional facility fees, room assignments, special breakfast requests, lunch and dinner requests as well as its pricing, alcohol arrangements, dietary needs, furniture arrangements, event scheduling, transportation, noise advisory, capacity requirements, parking, tear down and cleanup, labor and staff requirements, and all contact information. The guests must adhere to these guidelines or am extra deposit charge may apply.
Special Date Cancellations
Deposits will not be refunded on special dates: Those dates are as follows: Christmas Eve through New Year’s Day (12/24 – 1/1), Memorial Day Weekend*, Independence Day Weekend*, Under the Big Sky Music Festival Weekend**, and Labor Day Weekend*. *Some holiday dates shift from year to year. **Please note that the Under the Big Sky Festival dates change year to year. It typically falls on the second or third weekend in July on a Friday, Saturday and Sunday. We recommend trip insurance to help cover the costs of non-refundable reservations or other costs in the case of an unplanned illness or family emergency. There are several companies that provide such coverage. One example, is Cover Trip.
We require a 3-night minimum stay on reservations booked during our high season: May 15th through September 30th. However, from time to time, we relax this requirement and allow a 1 or 2 nights stay during all months. If the system allows you to select only 1 or 2 nights then we have in fact relaxed the policy and your booking will go through at checkout. If it doesn’t let you book lesser nights and you would like to do so, please call us to discuss your situation to see if we can accommodate it. (We offer a 1 Night and 2 Night Rate during our busy summer season, but at a premium rate and you must call us directly to book.)
The lodge and most of the grounds are non-smoking. We do have a dedicated area in the front exterior where guests can smoke. Please also refrain from using incense, essential oils in the rooms and bath bombs in the jacuzzi tubs. Any costs associated will result in fees charged to the registered guest in that room.
The number of people per room is governed by fire regulations, licensing, insurance and available space. All of our rooms can accommodate two people maximum, with the exception of Glacier Suite where the maximum is four plus a pack and play or portable mattress. Glacier Suite can accommodate children of any age. Pack and Plays are available upon request and are available on a first come first serve basis unless reserved ahead of time. Is between 3:00 p.m. and 5:00 p.m. If you are unable to arrive between these times, please notify us so that we can be sure to reach out to you with check-in instructions. Early arrivals or late departures are available for a fee but must be coordinated ahead of time and is completely at the discretion of the GML staff in order to assure each guest is afforded the courtesy of their full stay with us. Check out time is at 11:00 a.m. on the day of your departure. All late check outs must be arranged with GML staff ahead of time. An email will be sent to you 5 days in advance to provide detailed instructions on your check in. It will have information required for you to access the property, so please look out for that email or contact us if you do not receive it before your stay.
All parking is free. Please park in any space that is available. Typically there is more than adequate parking for all guests. We do not designate spaces per room or guest. If you plan to bring more than one vehicle or an oversize vehicle, please let us know so that we can try to help you park while still maintaining plenty of space for other guests.
Damage to rooms, fixtures, furnishings, linens and anything else (i.e. electronic equipment, towels, artwork, etc.) will be charged at 120% of full and new replacement value plus any shipping and handling charges. Any damage to hotel property, whether accidental or willful, is the responsibility of the registered guest for the particular incident. Any costs associated with repairs and/or replacement will be charged to the credit card of the registered guest. In extreme cases, criminal charges will be pursued.
Please note that our hot tub is available for use daily from 9am to 10pm except for on Tuesdays when regulations require us to empty, refill and treat the hot tub. As soon as the hot tub is up to temperature (around 104 degrees F) on Tuesday evening, it will be ready for use. From time to time, the hot tub needs additional maintenance. There is no guarantee the hot tub will be in operational status at the time of your stay.
We take everyone’s health and safety very seriously, including that of our family who live in an adjoining building and our staff who work onsite. We are taking every precaution in and around the lodge to ensure the highest level of cleanliness by following the current guidelines. Masks will no longer be required for vaccinated guests, per the CDC’s May 13th, 2021 announcement. We ask that anyone not wearing a mask be extra courteous to those who may have concern or be immunocompromised.
Room service is performed as requested. It does not take place daily unless asked. We have service request sheets in the room for when our guests want to request linens, towels or anything else that is needing replacement or cleaning. Simply bring the request sheet out with you for breakfast and we will accommodate your request. We will be changing bed sheets after a guest stays for three days.
